Managing the life cycle of external tools—from initial inquiry to implementation and beyond—can be complex and fragmented. This is especially true for our team with the added layer of integrating these tools into our learning management system. These processes involve multiple departments, each with their own tracking platforms and communication channels, making collaboration and oversight challenging. This session will explore how we addressed these issues by designing a custom workflow in Salesforce that allows our educational technology team to unify and track every stage of the tool life cycle, including piloting, testing, contract and document management, security and accessibility evaluations, LMS integration, ongoing maintenance, annual re-evaluation, and possible retirement. We will share insights into the design process, demonstrate how this solution improved reporting, tracking, and support, and discuss the impact on efficiency and collaboration across teams.
