As AI moves from novelty to necessity, higher education leaders face the daunting task of selecting the right tools while ensuring data security and staff buy-in. Drawing on years of experience shepherding staff through multiple system implementations (CRMs, SIS, document imaging), the presenters will detail how their admissions office transformed AI from a buzzword to integrated in daily processes through a centralized internal working group. We will detail our internal review process, the implementation of AI-powered chatbots to provide 24/7 support, the integration of native AI features within our admissions CRM, and our department user adoption of a variety of AI tools rolled out institution-wide. Participants will gain a blueprint for navigating the RFP process, conducting rigorous security reviews, and creating institutional AI literacy resources to support organizational change and operational efficiency.
