Q: What is a poster session?

A: 

Poster sessions are where frontline campus innovators share their expertise with attendees through a physical poster display. The presenter visits with attendees as they stop by their poster to explain and discuss their topic. Poster sessions are more informal and interactive than other traditional sessions, allowing for more personal connections to be made.

Q: What are the due dates for my poster session?

A: 

There are several key dates for your poster session and any supplemental resources you would like to provide:

  • NOW: Start creating your poster. You may use this poster template or can create your own.

  • April 27: Presenter Registration Deadline. We ask that all presenters be registered by this date.

  • May 9: One month out. Finalize your poster and presentation points. Schedule date to have your poster printed. Be sure to watch the Presenter Support Modules for best practices to help you create and deliver an outstanding presentation.

  • May 9: Secure your travel and lodging by this date.

  • June 2: Upload a copy of your poster and any supplemental documents (optional). Instructions will be forthcoming on how to upload these.

  • June 8–10: ELI Annual Meeting 2022 in San Diego, CA. Present your poster at your scheduled date/time. Good luck!

Q: Where and when will my poster be displayed?

A: 

Posters will be located in the Indigo CG Ballroom, at the Hilton San Diego Bayfront. You have been scheduled to present on Thursday, June 9th from either 10:30-11:15 a.m. or 1:45-2:30 p.m. (Please reference the online agenda to confirm your specific poster presentation time.)

Q: What size should my poster be and how will it be displayed?

A: 

Your poster will be affixed to the provided 40 X 30 foam board so will need to fit within these dimensions. The poster (on the foam board) will then be displayed on an easel. You may use this poster template or can create your own. EDUCAUSE will also provide poster presenters with a small table at each display.

Q: Will supplies be available for setup?

A: 

Yes. During poster set-up, a small supply of pushpins, T-pins and Velcro will be provided for you to affix your poster to the foam board. Power will not be provided for laptops or tablets, so if you plan to use one at your poster display, be sure it is fully charged. Also, note that there will be no equipment security or storage available when you are not presenting, so please keep valuable items with you at all times.

Q: When can I set up and tear down my poster display?

A: 

Below is the schedule for posters:

If you are scheduled on Thursday, June 9 from 10:30-11:15 a.m.:

  • Setup | 8:00 a.m.- 9:00 a.m.
  • Display | 10:30-11:15 a.m. (You must be at your poster for display times.)
  • Teardown | by 12:00 p.m. (EDUCAUSE will not be responsible for any posters or materials left after this time.)

If you are scheduled on Thursday, June 9 from 1:45-2:30 p.m.:

  • Setup | 12:00 p.m.- 1:00 p.m.
  • Display | 1:45-2:30 p.m. (You must be at your poster for display times.)
  • Teardown | by 4:30 p.m. (EDUCAUSE will not be responsible for any posters or materials left after this time.)

Q: As a poster presenter, will I have internet access?

A: 

Yes, the conference wifi will be available for your use (if needed).

Q: How many posters will there be?

A: 

There will be approximately 20 - 30 posters and corporate displays during each of the poster session times.

Q: Do I need to provide supplemental material? If so, what format(s) are accepted?

A: 

You do not need to provide anything other than your in-person poster. However, if you wish to share additional documents with attendees, we ask that you upload these by June 2nd. (Instructions will be emailed to presenters.) File type allowed: pdf. File size should be 2GB or smaller.

Q: Do you have a preferred naming convention for files?

A: 

All presenters should share their presentation/poster materials prior to the annual meeting. Please rename files to be uploaded with the session title and the resource type (examples: "Name_of_Session_Poster" and/or "Name_of_Session_ Handout"). If you password-protect a PDF document, please make sure to enable the file to be read by a screen reader. It is our goal to make our resources easily available to those who use adaptive and assistive technology to access files over the internet.

Q: Do I have the option to ship or store my materials?

A: 

If you need to ship materials, it would be best to send materials to your hotel (labeled to your attention). Please contact the hotel directly to confirm this and for shipping instructions. Unfortunately, we do not have an area for you to store your poster.
