Overview

Balancing strategic initiatives with day-to-day work requires both capacity planning (understanding workforce availability) and resource management (optimizing allocation). This interactive session provides higher education leaders with tools to assess workforce capacity, align project portfolios, and effectively allocate resources. Participants will leave with actionable strategies to improve sustainability, efficiency, and staff well-being.

Each participant will build a Capacity Planning and Resource Prioritization Brief for their own organization. Across the four sessions, they will identify capacity constraints, prioritize a sample or real project list, estimate resource implications using waterfall and Agile/Scrum lenses, and draft a stakeholder communication plan with one immediate action they can implement within 30 days.

Participants will leave with a draft capacity planning brief, including a prioritization matrix, project sizing approach, stakeholder communication strategy, and 30-day action plan.

Learning Outcomes:

NOTE: You will be asked to complete assignments in between the live sessions that support the learning outcomes stated below. You will receive feedback and constructive critique from facilitators.

• Map workforce capacity to institutional goals using strategic planning tools.
• Implement resource allocation techniques to balance strategic and operational demands.
• Design actionable strategies to promote sustainability and prevent team burnout.
• Develop a 30-day action plan to utilize these concepts in your organization.
