In this session, we will establish a foundation in change management, emphasizing the importance of adoption and usage within the higher education landscape. We will explore a structured approach for the people side of change while setting a foundational understanding of AI and its adoption in academic environments.
In this session, you will learn to:
- Analyze the Dual Aspects of Change: Examine the technical and human dimensions of change management. Ensure that the change is designed, developed, and delivered effectively while engaging faculty, staff, and students to enable their proficient adoption and use of the change during transitions.
- Apply the Core Principles of Change Management: Implement the five essential tenets of change management that guide successful implementation of initiatives in higher education, from curriculum changes to administrative processes.
- Utilize the ADKAR Model for Individual Change: Employ the ADKAR Model as a practical framework for facilitating individual transitions among faculty and students during institutional changes.
- Integrate AI within Change Management Practices: Discover how to effectively incorporate AI into change management strategies, enhancing the overall adoption and usage of new technologies in teaching, learning, and administrative functions.
By the end of this session, you will have a solid understanding of the foundational elements of change management and how they intersect with AI initiatives in higher education. This knowledge will empower you to navigate the complexities of change in an AI-driven academic environment and equip you with practical skills to foster successful adoption and usage among all stakeholders involved.
Part 2: Using ADKAR to Unlock AI Change

Building on the foundational understanding of change management established in our previous session, this workshop will focus on the driving and restraining forces that influence the adoption of AI in higher education. Recognizing that the ultimate value of AI hinges on successful adoption, we will use the ADKAR model to analyze these forces related to each of the five elements: Awareness, Desire, Knowledge, Ability, and Reinforcement.
In this session, you will learn to:
- Identify Driving Forces: Assess the factors that promote Awareness, Desire, Knowledge, Ability, and Reinforcement in the context of AI adoption within your institution.
- Evaluate Restraining Forces: Analyze the barriers that hinder the successful implementation of each ADKAR element and provide insights into the challenges faced by faculty, staff, and students.
- Develop Strategies for Overcoming Barriers: Formulate actionable strategies to leverage driving forces and address restraining forces, which ensures a smoother transition to AI adoption.
- Facilitate Engagement Across Stakeholders: Learn techniques to engage all levels of stakeholders, thereby fostering a culture of acceptance and proficiency using AI technologies.

Part 3: ‘My’ Work, ‘with Me’ Work, ‘for Me’ Work

Building on the insights gained from our previous sessions on change management and the driving and restraining forces related to AI adoption, this workshop will focus on the practical integration of AI at the task level through the AI Integration Framework. Recognizing that AI will have the most significant impact when effectively integrated into everyday work, this session will provide a hands-on application of the framework.
In this session, you will learn to:
- Identify Characteristics of “My” Work: Analyze the tasks best suited for human execution due to their complexity that require emotional intelligence, ethical considerations, or intricate decision-making processes.
- Explore “for Me” Work Characteristics: Examine tasks that can be fully automated by AI where human intervention is minimal or unnecessary, thereby optimizing processes and reducing the need for human labor in repetitive or predictable tasks.
- Understand “with Me” Work Dynamics: Discuss tasks where AI can assist, enhance, or augment human capabilities, which makes processes more efficient or insightful without fully replacing the human touch.
- Create a Personal Action Plan: Develop a customized action plan that outlines how you will integrate AI into your work processes and ensure that the technology aligns with your goals and enhances your contributions.
By the end of this session, you will have a clear understanding of how to leverage AI in your specific role, thus empowering you to create a personal action plan that effectively integrates AI into your daily tasks. This knowledge will enable you to maximize the benefits of AI while fostering a culture of innovation and collaboration within your institution.
Part 4: 5 AI Use Cases for Change Agents

Building on our exploration of how change agents use AI in their work and the insights gained from our previous sessions, this workshop will delve into the practical applications of AI at the task level, particularly focusing on the "With Me" work within the AI Integration Framework. Understanding how AI can assist and enhance your daily tasks is crucial for maximizing its impact in higher education.
In this session, you will learn to:
- Explore the "With Me" Work Dynamics: Discuss tasks where AI can support your efforts and make your work processes more efficient and insightful without replacing your unique touch and expertise.
- Examine Research Findings: Review the latest research on how change agents are leveraging AI to improve their work quality, efficiency, and enjoyment, and reduce mental strain.
- Analyze Real-World Examples: Review specific instances of AI use for content creation, communication support, strategy and planning, automation and efficiency, and data analysis. Showcase how these applications can enhance your change management practices.
- Engage in Practical Exercises: Participate in hands-on practice across several use cases so that you can experience firsthand how to effectively integrate AI into your daily work.

Lab Implementation Project
In this lab, you’ll engage in a series of hands-on activities that blend change management principles with practical AI application. You’ll explore ADKAR insights specific to AI, reflect on how AI could support your past change efforts and begin identifying where AI fits into your own daily work. Through eLearning and guided prompts, you’ll sort your tasks using the AI Integration Framework and practice using Kaiya (Prosci’s AI Assistant) to generate change management activities. Along the way, you’ll reflect on value, craft detailed prompts, and consider the real-world impact of AI on your role. These assignments are designed to help you think critically, experiment thoughtfully, and build confidence in using the AI Integration Framework in your change practice.
