Q: What are the key deadlines and dates for my presentation?
Advance preparation is vital for the success of your presentation. As a presenter at an EDUCAUSE event, you’re providing valuable information, advice, and direction to your peers. Abide by all deadline dates as listed below and outlined in speaker communications. EDUCAUSE reserves the right to move, alter the delivery format, or cut sessions if event milestone deadlines are missed.

March: Complete Agreements in Presenter Participation Portal: 1) Speaker Agreement; 2) Publishing Agreement; 3) Streaming & Recording Agreement; 4) Registration Requirement Agreement. (If you need the link to the presentation portal again, please contact [email protected].)

March 20: Presenter Registration Deadline; Travel/Hotel. We ask that you be registered by this date and have your hotel/travel secured. Scholarships are available. To see eligibility please visit our scholarships page. The deadline to apply is March 31.

March 31: Update Your Presenter Profile. Please log into EDUCAUSE's membership system to make sure your profile is up to date (bio, photo, title, company, etc.). Your profile will be listed on your presentation page for attendees to view, so you will want to ensure it is current.

March 31: Event program and registration is live on the event website agenda page. Check your session listing for accuracy.

March/April: Create your presentation; refine presentation skills and engagement tactics. For your convenience, here is the event PowerPoint template. Be sure to watch the Presenter Support Modules for best practices to help you create and deliver an outstanding presentation.

April 24: Presentation Materials to be submitted. The lead presenter will submit materials (copy of PowerPoint slides, supplemental materials/resources, etc.) to EDUCAUSE.

Q: What format(s) are accepted for presentation materials?
Q: Do you have a preferred naming convention for files, and should I include a copyright statement?
All presenters should share their presentation materials prior to the annual conference. Please rename files to be uploaded with the session title and the resource type (examples: "NameofSession_Slides.ppt" and/or "NameofSession_ Handout.pdf"). If you password-protect a PDF document, please make sure to enable the file to be read by a screen reader. It is our goal to make our resources easily available to those who use adaptive and assistive technology to access files over the internet.

Q: How do I upload my material?
Q: How will my on-site room be set up?
Please see the following setup information based on your session format:
- Preconference Workshops: These will be set in all rounds, with a head table and chairs for presenters and a standing lectern at the front of the room.
- Presentations: These will be set theater-style or a combination of round tables in the front of the room and theater-style seating in the back. There will be a head table and chairs for presenters and a standing lectern at the front of the room.

Q: How big is the room that I will present in, and how many people can I expect at my session?
Session rooms vary in size but will hold anywhere from 80 to 250 people. The room assigned for your presentation will depend on your topic and format. We cannot anticipate how many people will attend your session, and seating is first-come, first-served. (Preconference workshops are the exception.) You can find your room assignment under your session listing. Room assignments are subject to change so always cross check prior to your presentation. Q: Will I have access to audio/video equipment?
All of the session rooms will have the following standard audiovisual setup, which includes:
- LCD projector with HDMI capabilities and screen (16:9, widescreen format)
- Projector stand
- Internet wireless access
- Hard Ethernet drop
- Sound patch for computer audio to the room through house sound
- Wireless lavalier microphone
- Wired microphone at lectern
- For panels of three or more, one additional table mic is provided
The following will NOT be provided:
- A presentation computer. You will need to bring your own laptop to display your presentation.
- Adapters/dongles that you may need.
- Slide advancer. If you use a slide advancer, please BYOC (bring your own clicker)!
Please note: EDUCAUSE is not able to accommodate additional requests outside of the standard AV. If you have any questions or concerns regarding the AV provided, it is important to contact EDUCAUSE no later than April 1. After that date, our program will be finalized with the hotel.

Q: Will I have internet access?
The following internet connections will be available:
- Wireless access will be available for both presenters and attendees. The connection speed will be sufficient to access and navigate web pages and email.
- One dedicated Ethernet connection is provided for presenter use (cable dropped between lectern and table and requested to be long enough for use at either location).
Substantial bandwidth will be provided and should be sufficient for basic applications you wish to present. However, if you know that your presentation will require a significant bandwidth and have concerns, please contact the speaker liaison, Sarah Reynolds at [email protected].
