Q: Do I need to register to present?

A: 

As a presenter, you must register in order to present. Be sure to register by January 21 to get the early-bird rate. We also encourage you to book your hotel and travel early. Please visit our Hotel and Travel page for more information.

Q: How do I create or update my EDUCAUSE profile?

A: 

An EDUCAUSE Profile is required to be listed as a session presenter and for conference registration. Also, because your profile is displayed with your session in the online agenda, it is important to have your current title and institution/organization. Please also upload a professional headshot.

Need to create a profile?

  • Go to the Member Directory home page.
  • Click the "Create a Profile" link.
  • You'll be prompted to enter an email address first so the system can cross-check the database. If your email is not in the database, the next screen will direct you to "Create a Profile."
    • NOTE: Please wait until you receive an email indicating that your profile has been approved, then proceed with the steps under Have a Profile.
  • If you need assistance, please contact the Membership Team at [email protected] or 303-449-4430.

  • Log in from the Member Directory home page.
  • If you have a profile, log in with the red Login button in the upper right corner of your screen.
    • If you have forgotten your username/password, you may reset both from the Login page.
  • Once logged in, My Profile will display. Click this to update your bio, photo, visibility setting, and more.
    • Make sure that your visibility setting (found within Edit Primary Info) is not too restrictive. We recommend the option "Visible only to authenticated EDUCAUSE members (with contact info)."

Q: Could you explain what my "session type" means?

A: 

The following session types were assigned through the proposal submission process and are designed to set participant expectations when they attend a session.

Preconference Workshops
Preconference workshops will be held Monday, March 2, from 8:00 to 11:00 a.m. (PT). Up to two presenters from each workshop will be provided with a full complimentary registration to the annual meeting. Preconference workshops are intended to provide attendees with in-depth, hands-on learning experiences that will assist them in addressing their needs and opportunities to pursue their strategic and tactical goals.

Present and Engage Sessions

  • Interactive Presentation: Interactive presentations are opportunities to present in detail on a project, idea, or experience while enabling audience participation. These sessions require continuous engagement tactics, interspersed activity tactics, or intensive Q&A tactics. They are scheduled for 45 minutes, and at least 15 minutes of this time should be interactive.
  • Short Presentation Pairs: Presentation pairings include two 15-minute presentations (by different presenters) followed by a 15-minute question/discussion period, for a total of 45 minutes. This is a great way to organize closely related content with two unique perspectives. These highly visible sessions highlight pioneering practices by giving institutions a spotlighted venue with condensed presentation time. Please note these are not poster sessions.
  • Hands-On Workshop: Workshops are 45-minute sessions where participants experience technology or pedagogical practices firsthand. Note that these are not presentation sessions—they are activity sessions. Presenters will guide a hands-on, tutorial-like experience using applications and resources. Participants are asked to bring a mobile device (e.g., smartphone, tablet, laptop) to the session in order to fully participate and to experience an emerging, innovative technology or practice. Hands-on workshops, by virtue of their robust interactive learning design, will have priority consideration for the active learning space (designed by Steelcase Education). Presenters are responsible for providing any additional technologies needed to ensure an engaging hands-on experience.

Discuss and Connect Sessions

  • Discussion Circle: This is ELI's version of an unstructured, topic-driven discussion, somewhat like a conceptual jam session. The discussion circle is a way to engage with colleagues seeking common solutions to today's greatest challenges on the learning horizon. Eschewing any presentation, discussion circle hosts facilitate conversations in small, intimate settings, allowing participants to take a deep dive into a pressing issue the community is tackling and for which the resolution is not obvious. These 45-minute sessions are highly interactive and provide a unique learning and bonding opportunity.
  • Posters: Posters give participants and presenters the opportunity to share and examine problems, issues, and solutions in a more casual, personal environment through informal, interactive, brief presentations focused on effective practices, research findings, or technical solutions. The standard setup for a poster includes a 6' foot skirted table and wireless internet access. Easels and boards will be available on request. Posters are allocated 45 minutes of action, with ample time for setup and breakdown.

Mixed reality (XR) hands-on demonstrations: Community members working on curriculum-related XR projects will be demonstrating their work in these interactive poster-like sessions. Facilitators will be assigned a location and time for their demonstration. Facilitators are expected to provide their own XR equipment to allow attendees to try out their application. Typical XR projects could include anything related to virtual reality, augmented reality, or mixed reality and can be supported by a range of technology, from high-end headsets to mobile devices. Wireless connectivity and adequate electrical power will be provided.

Q: Is there a PowerPoint template I should use for my presentation?

A: 

EDUCAUSE provides an optional PowerPoint template for your convenience. The template is in 16:9 aspect ratio (widescreen).

Please note that adult learning principles/best practices include the following recommendations for presenters using PowerPoint:

  • Ensure your attendees can see your slides: Use 30-point font or larger.
  • The use of images that evoke, inspire, or compare to the educational points you are making will make for a much better presentation than large amounts of text.
  • Limit the amount of text on slides—slides should complement the ideas that are being shared verbally by the presenter, not contain the text of the message being conveyed.

Q: How do I share my session resources with attendees, and should I include a copyright statement?

A: 

A designated presenter should share their session’s presentation materials prior to the ELI annual conference. Please upload all slides to the Speaker Portal using the following format for file names.

File names:

Please rename files to be uploaded with the session title and the resource type (examples: NameofSession_Slides.ppt and/or NameofSession_ Handout.pdf). If you password protect a PDF document, please make sure to enable the file to be read by a screen reader. It is our goal to make our resources easily available to those who use adaptive and assistive technology to access files over the internet.

Breakout Session Presenter Information

Q: How will my on-site room be set up?

A: 

The standard set for breakout presentations will be a combination of round tables and theater; however, this setup is subject to change depending on capacity needs. In most cases, there will be a head table with chairs for presenters and a standing lectern at the front of the room.

Q: How big is the room that I will present in and how many people can I expect at my session?

A: 

Session rooms vary in size but will hold anywhere from 80 to 250 people. The room assigned for your presentation will depend on your topic and format. We cannot anticipate how many people will attend your session, and seating is first come, first served. (Preconference workshops are the exception.)

Q: Is there a floor plan for my session?

A: 

Q: Will I have access to audio/video equipment?

A: 

All of the session rooms (with the exception of poster sessions) will have the following standard AV:

  • LCD projector with HDMI capabilities and screen (16:9 widescreen format)
  • Projector stand
  • Microphones:
    • 1 wired microphone at lectern
    • 1 wireless lavalier
    • 1 additional table microphone for panels of three or more
    • Sound patch for computer audio to the room through house sound

Computers are not provided in meeting rooms. Please bring your own computer and adapters. Before arriving please make sure your computer is equipped with standard HDMI output and that you know how to use a projector with your computer.

Q: Will I have Internet access?

A: 

The following Internet connections will be available:

  • Wireless access will be available for both presenters and attendees. The connection speed will be sufficient to access and navigate web pages and email.
  • One Ethernet connection will be available for presenter use (cable dropped between the lectern and the table and is requested to be long enough for use at either location).

Substantial bandwidth will be provided and should be sufficient for basic applications you wish to present. However, if you know that your presentation will require a significant bandwidth and have concerns, please contact Sarah Reynolds.

Q: How will I know how well my presentation went, and when do I get feedback?

A: 

Your audience will rate and comment on your session. On your last slide, as well as putting your contact details, encourage attendees to provide feedback by asking them to complete the presenter evaluation on the mobile app. We will send you your session ratings and comments within one month of the event. Highly rated presenters may be considered for other speaking opportunities with EDUCAUSE.

Poster Session Presenter Information

Q: What will my area look like?

A: 

Standard items provided for poster sessions:

  • 6-foot skirted table
  • Assembly supplies (push pins, scissors, tape)
  • Wireless access (no Ethernet connection)

Complimentary items upon request (up to two of each):

  • Floor easels
  • 40" x 30" foam boards

Power will not be provided for laptops or tablets, so if you plan to use one for your presentation, be sure it is fully charged. Also, note that there will be no equipment security or storage available when you are not presenting, so please keep valuable items with you at all times.

Q: Will I have internet access?

All presenters will have wireless access. The connection speed should be sufficient for accessing and navigating web and/or email pages.

Q: Do I have the option to ship or store my materials?

A: 

If you need to ship materials, it would be best to send materials to your hotel (labeled to your attention). Please work directly with the hotel for shipping instructions.

Corporate (Purchased) Session Presenter Information

Q: Could you explain what each suggested "session format type" means?

A: 

Industry-Led Session
This session is a presentation given by a client of a corporation (at least one higher education institution is required). A subject matter expert from your corporation is present to add to the discussion. Your client will demonstrate the benefits your company's solutions have had on their campus, enabling them to speak to general benefits for other campuses. Q&A provides for valuable interaction between the client/corporation and the audience.

Industry and Campus Panel
This session consists of a panel of three subject-matter experts (at least one institutional representative is required) and a moderator. The topic should address a hot topic of key interest to higher education; emerging trends; research; and strategies, technologies, and business offerings.
