The Future of Account Provisioning with AI-Enhanced Tools for University Staff

In support of enhancing UCLA account provisioning to essential student records, financial aid, and admissions products, we are pursuing a comprehensive approach to streamline the process to new and existing products. This involves (1) process optimization: documenting and standardizing the secure provisioning workflow to minimize delays and ensure timely access to student records, admissions, and financial aid products; (2) escalation protocol: establishing a clear escalation process to manage urgent requests efficiently without disrupting applicant workflows; (3) visual mapping: creating a swim lane mapping diagram to visually represent departmental responsibilities and identify potential areas for process improvement; and (4) AI-powered support: developing an AI-driven Q&A tool to assist staff in understanding access roles and provisioning procedures based on established documentation. By implementing these strategies, we aim to optimize the account provisioning process, enhance efficiency, and ensure user satisfaction. In our session, we will highlight the importance of AI and how it is transforming industries at an unprecedented pace.
