Booth Information

Selection Process

  • Initially, booths were offered to 2024 EDUCAUSE Annual Conference exhibitors and other corporations that purchased a conference opportunity based on member status and cumulative spend with EDUCAUSE over the past five years (sorted high to low for members).
  • Next, current EDUCAUSE members were offered an opportunity to secure booth space.
  • After members are offered booths, we extend offers to those on our waitlist in the order in which requests are received.
  • Finally, if booths are still available, they are offered on a first-come, first-served basis.

EDUCAUSE members receive priority over nonmembers for booth selection and waitlist position. Learn more about EDUCAUSE Corporate Membership.


Inclusions

  • A designated number of complimentary exhibitor registrations per 100 sq. feet of exhibit space for access to the EDUCAUSE Commons during setup, preshow, show, and teardown hours (a 10’ x 10’ booth is 100 sq. ft; minimum four registrations per 100 sq. feet).
  • A designated number of complimentary exhibitor full-conference registrations for access to the complete conference experience (based on your booth size; available for your staff only).*
  • An identification sign with company and booth number (inline booths only).
  • Rented space is raw concrete with no furnishings provided. Pipe railing, 8'-high curtain back wall, and 3'-high curtain side rails (inline booths only).
  • A standard listing in the exhibitor directory.

Please note: Booth inclusions and additional details may be subject to change. Secured space is raw concrete floor defined by the booth size that your company purchases. Exhibitors are responsible for ordering mandatory floor covering (like carpet), any needed furniture, electrical, or internet, and lead retrieval (if desired), as well as shipping a portable backdrop, at an additional expense.


Booths Do Not Include

  • Storage, placement, shipment, or return shipment of exhibit materials.
  • All services and items for the booth, including but not limited to, required carpet/flooring, electric, internet, furnishings, lead retrieval, etc.
  • Internet. Complimentary wireless access will be available in the EDUCAUSE Commons this year, intended for light use by conference attendees only. You should not rely on this service for successful demos (all dedicated internet needs must be ordered).
  • Lunch.

*Complimentary exhibitor registrations must be processed in advance, by 11:59 p.m. ET on October 23. Any exhibitor registrations completed after this date and time (including on-site registrations) will be charged the $299 registration rate, even if your allotment hasn't been used. There are administrative costs to process registrations after October 23.

**Member pricing assumes company is a member at the time of booth selection and at the onset of EDUCAUSE 2025. The EDUCAUSE membership year runs from July 1 to June 30 of the following year. If membership dues are not paid prior to EDUCAUSE 2025, the difference between the member and nonmember rate must be paid by the exhibitor, prior to setup at the conference. Cancellation Policy

Exhibitors may cancel this contract at any time. Exhibitor understands and agrees that EDUCAUSE will incur damages from the Exhibitor's cancellation/downsizing. In order for cancellation to be effective, EDUCAUSE must be notified in writing. Cancellation fees will be based on the date that EDUCAUSE receives written notice.

Exhibitor agrees to the following refund schedule for 2025:

  • On or before January 31: 100% refund
  • During February: 50% refund
  • During March: 40% refund
  • During April: 30% refund
  • During May: 20% refund
  • On or after June 1: No refund
