Tabletop displays will be set up on Tuesday, May 20 and Wednesday, May 21 in a ballroom where refreshment breaks occur. EDUCAUSE provides a 6' table, two chairs, wireless access, and basic electricity.

Please submit an abstract about your display by April 4 via the corporate display form. Your unique ID can be found in the confirmation email sent by EDUCAUSE to your primary logistics contact.

Strategically serve a digital ad to EDUCAUSE website visitors wherever they visit online for one month (up to 10,000 impressions between April 21–May 19, 2025).

If you are designated as the primary logistics contact, you will receive a Smartsheet link to provide graphic artwork in the following file specifications and sizes:

  • Max initial download file weight is 40K
  • JPG or GIF static images only; no flash
  • Please specify the landing page URL for the graphic artwork
  • Please submit the same ad sized in all three formats:
    • 728 x 90 px,
    • 300 x 250 px, and
    • 160 x 600 px
    • Ad content must be exact or the system will deny entry

As a bonus, you'll receive detailed reports of your campaign results, including the number of impressions and clicks and the geographic locations of where your ads are served once your campaign is complete.

45-Minute Conference Presentation or Panel Session | Content Due April 3

Industry Insights Presentations are 45-minute presentations that must be educational in nature and conducted in partnership with at least one presenter from a college or university or via a small, diverse panel-type session with four presenters max.

Conference Theme and Tracks

The 2025 Cybersecurity and Privacy Professionals Conference theme, "Stronger Connections for Stronger Protections," will emphasize collaboration and the critical role it plays in advancing cybersecurity and privacy in higher education.

There are five areas of focus (program tracks):

Cybersecurity and privacy awareness, training, education, and communications are critical to successful information security and privacy programs. The Awareness, Education, and Human Factors track is a specialized segment within the Cybersecurity and Privacy Professionals Conference that delves deep into the strategies, tactics, and methodologies necessary for creating and managing cybersecurity and privacy awareness programs.

The Governance track focuses on the critical role of governance in shaping the future of higher education. Sessions will address topics such as shared governance models, data-informed policy decision-making methods, risk management, regulatory compliance, financial stewardship, and strategic planning. Participants will gain insights into effective engagement, leadership accountability, crisis response, and the importance of governance in fostering a culture of equity and innovation.

The Transformational Leadership track explores how cybersecurity and privacy leaders can effectively transform policy into practice and awareness into action within higher education institutions, regardless of institutional size. This track examines how leaders navigate the complex journey from strategic planning to operational execution, building the bridges necessary to convert security frameworks into living programs that respond to real-world challenges. Programs will focus on the unique challenges faced by CISOs and security directors in higher education as they work to create responsive, resilient security cultures while influencing key stakeholders and managing limited resources.

The Navigating Compliance with Confidence track addresses the unique regulatory landscape of higher education, where institutions of all sizes must protect sensitive information while complying with diverse laws and standards such as FERPA, HIPAA, GDPR, and CCPA. This track explores the latest strategies for meeting regulatory obligations, managing risk, and fostering a culture of accountability and responsibility within higher education. Attendees will gain insights into building robust compliance programs that ensure data privacy, security, and institutional resilience. Practical guidance will be offered on auditing practices, breach notification requirements, and managing compliance across increasingly complex digital infrastructures.

The Evolving Technologies and Practices track delves into the latest advancements and strategies that are reshaping operational excellence and training practices in higher education. As institutions navigate an increasingly complex environment of digital transformation, evolving student needs, and demands for operational efficiency, this track explores how technology and optimized practices can drive institutional success and enrich the educational experience.

Session Guidelines

  • Your session should be designed to bring together corporate and institutional thought leadership communities, facilitate intentional dialogue, bridge R&D, and promote product development. The session is NOT for marketing or sales.
  • Eliminate company background information, marketing, and sales speak.
  • Focus on thought leadership and advancing the needs of higher education.
  • Ask participants about their needs and keep the session interactive.
  • We ask that presentation slides and any supporting materials be uploaded prior to the conference.
  • Take advantage of the resources available to you for designing and delivering an engaging presentation.

If you are the primary logistics contact, you will receive a submission link request via Smartsheet to provide a graphic that you would like to include on the main page of the app.  Please submit them in the following specifications:

  • File format: PNG (not to exceed 30M)

Sponsor Tile Content  Due April 21, 2025
Please respond to your confirmation email with the following content to be placed inside the sponsor tile located on the homescreen of the app:

  • Brief description of your company
  • On-site activities
  • Any specific links you would like included

Push Notification Copy  Due April 21, 2025
Please also provide a brief message to be sent to conference attendees via the mobile app during the event, and:

  • Indicate the day and time (Eastern Time Zone) you want the message sent. Either Tuesday, May 20 OR Wednesday, May 21.
  • The copy must be submitted to EDUCAUSE in advance for review and approval.
  • The message should be concise (25–35 words) and relevant to your company’s presence at the conference or overall involvement with EDUCAUSE, yet not too promotional in nature.

Your Corporate Display

Conference Partners receive a corporate display space to demo your products and services and network with attendees.

Location

Corporate displays are located in a ballroom on the third level of the hotel within the conference designated space.

Hours, Setup, and Teardown

  • There are two setup windows available to you. If you arrive early on Monday, you are welcome to go ahead and set up during the designated timing.
  • Display tables will be identified on site by company name and table number.
  • Please reference the shipping information provided for delivery of your shipment.
  • Your space will come with a 6’ skirted table, two chairs, basic electricity, wireless access.
  • You may bring a pull-up banner, collateral, and technology for your set, as long as your items remain within the confines of your space.
  • Valuable equipment, including a laptop, should be locked or removed if leaving the area after setting up.
Corporate Display Hours Tuesday, May 20:
9:45 a.m.–3:00 p.m.
High traffic times in the corporate display area on Tuesday include:
  • 9:45–10:30 a.m. (refreshment break)
  • 2:15–3:00 p.m. (refreshment break)
Wednesday, May 21:
9:45 a.m.–1:45 p.m.
High traffic times in the corporate display area on Wednesday include:
  • 9:45–10:30 a.m. (refreshment break)
  • 1:00–1:45 p.m.
Teardown Wednesday, May 21:
1:45–2:45 p.m.
Please plan your travel accordingly and do not teardown early as the refreshment break will be taking place in this space. Tearing down early is disruptive to the rest of the event.

Display Specifications and Regulations

In an effort to create a positive experience for everyone, on-site representatives should adhere to the following rules/regulations:

  • The corporate display is a table display, not an exhibit booth defined with pipe and drape; please respect your neighbor's space.
  • All materials/products must fit within the space provided; pull-up banners are strongly recommended as opposed to larger floor displays given the space limitations.
  • Empty boxes should be stored out of sight.
  • Material distribution is limited to your corporate display area.
  • Staff your area during the scheduled times when attendees will be viewing corporate displays. Displays should be staffed by a maximum of two people. Too many people are intimidating to attendees and don't fit well within the confines of the space.

Monitors or Dedicated Internet

Your display space will come with a 6’ skirted table, two chairs, basic electricity, and wireless access. If you’d like to rent a monitor or dedicated internet, please place your order through the online ordering portal.

Wireless internet will be available for the conference for general web functions, however, given the demand that the network will experience and the number of attendees, you could potentially experience a slow down in your speed. If a strong connection is imperative for your display and you want dedicated internet, we recommend ordering it through the hotel.

Lead Retrieval

We’re partnering with Cvent to offer you a valuable tool to collect leads and contact information during your interactions with attendees at the event.

Shipping Information

Business packages or materials may be sent to the hotel prior to your arrival. The hotel will receive them on your behalf and have them in safekeeping until the event. Please review the shipping information guide for details regarding handling and storage charges, payment of those charges, address labeling, and process for receiving packages on site.

Registration and Housing

Conference Partners receive three complimentary full-conference registrations for access to the complete conference experience.

Please note: Everyone who registers is a full-conference attendee; there is no exhibit staff registration type for this event.

We recommend attendees register as soon as possible and no later than May 9 in order to receive necessary communications in advance of the event.

Registration Types, Inclusions, and Cancellations

This registration type includes:

  • Access to the full conference experience (including the opening General Session and reception on Monday)
  • Breakfast, lunch, and refreshment breaks on Tuesday and Wednesday
  • All program materials

You may use these registrations at your discretion. For instance, you can offer them to your staff, company presenter(s) or institutional co-presenter(s), or invite a current or prospective client to the event in support of their professional development.

To claim your complimentary full-conference registrations:

  • EDUCAUSE will send your organization's primary logistics contact a confirmation email when the opportunity has been secured.
  • The confirmation email will include a promo code for you to share with applicable personnel. These promo codes can be used by your company's personnel or you may share them with your institutional clients or presenters.

This registration type is recommended for anyone who will attend the event, but will not use one of your complimentary registrations. It includes:

  • Access to the full conference experience (including the opening General Session and reception on Monday)
  • Breakfast, lunch, and refreshment breaks on Tuesday and Wednesday
  • All program materials

Registration Cancellations

Registration cancellations received on or before March 24 are entitled to a full refund. There will be no refunds after this date.

Important Note: Cancellation of your conference registration does not mean cancellation of your hotel reservation. You must cancel each separately. Registrations and hotel reservations canceled after certain dates are subject to processing or other fees.

How to Register

Everyone attending must complete their own event registration and will be prompted to log in or create an EDUCAUSE Profile before doing so.

This includes staff who will help set up or work your display, presenters, and those who wish to attend for professional development (i.e. access all event activities, including sessions and networking opportunities). Purchasing an opportunity does not automatically register anyone.

It is important that your staff register as soon as possible in order to receive necessary event communications in advance. We highly recommend registering no later than May 9.

  1. Visit Registration and select, “REGISTER NOW”.

  2. Select “Full-Conference Registration.”

  3. For any complimentary registrations, enter and apply the discount code that was provided to your organization’s event logistics contact via email.

Please note: We are unable to accommodate complimentary registrations over what was included with your Conference Partner package. You are welcome to register additional attendees at the designated registration fee.

Are you the Primary Logistics contact and planning to attend the event?
You will need to complete an event registration as well. Primary logistics contacts are not automatically registered.

Housing

The Baltimore Marriott Waterfront is the official conference hotel. Please visit Hotel and Travel to book accommodations in the EDUCAUSE room block by April 21.

You may also book your hotel through the conference registration process.

The hotel cutoff date to book rooms in the EDUCAUSE block is April 21 (or until sold out, whichever comes first). For additional information on parking, air and ground transportation, and general area information, refer to the Hotel and Travel page.

Important Reminder: Cancellation of your conference registration does not mean cancellation of your hotel reservation. You must cancel each separately. Registrations and hotel reservations cancelled after certain dates are subject to processing or other fees.

Housing and Registration Advisory

The Baltimore Marriott Waterfront is the only official 2025 Cybersecurity and Privacy Professionals Conference host hotel.

Improper solicitation of hotel reservations from any company other than Omni Providence is not approved. Reservations made by unaffiliated organizations may appear to have lower rates, however they may be illegitimate, not have the rooms to sell, have unreasonable cancellation or change penalties, or be completely non-refundable.

Please be aware of and report any unauthorized solicitations to EDUCAUSE.

When referring to your partner status, use the following naming convention (based on your partner level):

  • Company Name, 2025 Cybersecurity and Privacy Professionals Conference Partner

EDUCAUSE trademarks, service marks, logos, trade dress, and any other identifying marks or insignia (collectively "EDUCAUSE's Trademark") should only be used in a manner that follows these incorporated guidelines to maintain brand integrity:

  • EDUCAUSE trademarks should not be used on a heavily textured, colored, or patterned background.
  • Keep the trademarks separate from other elements within the design space by maintaining a measure of white space around it, regardless of the medium.
