Policies and Permissions

Registration for EDUCAUSE 2017 is handled by Experient and will require login to access and modify your existing housing and registration, as well as verification to view participant lists.

Note: To view the participant list, be sure you are logged in and then click on the Register Now button to access your registration summary page. The participant list is linked at the very top of your registration summary.

Registration Payment and Cancellation Policies

Payment for the full amount of the registration fee must be made by the first day of the conference. Participants who have an outstanding balance will be required to provide payment onsite.

Cancellations postmarked or received on or before September 5, are entitled to a full refund. Cancellations received between September 6 and October 3, are entitled to a refund minus a $100 processing fee for full- or daily-conference registration and a $50 processing fee for preconference workshop registrations. If you cancel after October 3, no refund will be issued.

Note: Cancellation of your conference registration does not mean cancellation of your hotel reservation. You must cancel each separately.

Hotel Payment and Cancellation Policy

Cancellations by attendees must be received by September 15 to avoid being charged a fee of $150 USD per room. Cancellations must be made by web or by email at [email protected] on or before the deadline.

After October 9, cancellations must be made directly through your hotel. Cancellations must be received by the hotel within 72 hours prior to arrival in order to avoid a full night’s room and tax penalty along with the $150 USD EDUCAUSE cancellation fee.

Note: If you do not cancel your reservation and/or do not arrive at the hotel on the check-in date specified above, the first night's deposit will be charged to your credit card—in addition to the $150 USD EDUCAUSE cancellation fee—on the night of your expected arrival and your entire reservation will be cancelled.

Recording, Streaming, and Photography

Because all presentations and associated materials are the presenters' intellectual property, you MUST obtain the presenters' permission to record or stream their session or activity in any medium (including, but not limited to Periscope, Meerkat, and YouTube). Recording/streaming for commercial purposes is allowed only with prior written permission from both EDUCAUSE and the presenter(s). EDUCAUSE reserves the right to ask any participant to move within or to leave a session venue if their use of technology is disruptive to presenters or other participants.

Please Note: By attending the conference, participants grant the unconditional right to use, publish, display, or reproduce written and/or oral statements, photographs, or videos, which allows images, audio, and video recorded on site to be used for educational and promotional purposes. Event Conduct Expectations

All conference or event attendees are governed by their organization's code of conduct or sexual harassment policies. EDUCAUSE staff are governed by the EDUCAUSE code of conduct:

EDUCAUSE is committed to maintaining a safe, non-threatening work environment which encourages mutual respect, promotes congenial relationships and is free from all forms of intimidation or violence. We take every incident of workplace violence and harassment seriously. EDUCAUSE prohibits employees from engaging in any act, either on Association premises or during the performance of work-related duties including during attendance at conferences and events. EDUCAUSE employees must not engage in intimidation, threats, hostile behaviors, physical abuse, vandalism, or other such acts, which, in EDUCAUSE management’s opinion, are inappropriate to the work environment.

Employees who experience, observe, or have knowledge of threatening behavior are expected to immediately report this to management within EDUCAUSE. Employees are to directly contact proper law enforcement authorities if they believe a serious threat exists to the welfare of themselves or others. Retaliation against employees who report such risks will not be tolerated.
