Thank you for participating in this year’s EDUCAUSE Annual Conference. Here you'll find important information you need to prepare for the event, including tips and templates for promoting your presence.

Quick facts before you explore:

  • New information will be added as we get closer to the event. Please bookmark this page and regularly check back.
  • Everyone attending must register themselves (including those presenting only). No one can do this on your behalf. It is highly recommended that individuals from your organization register as soon as possible (by October 20) in order to receive necessary communications in advance of the event.
  • Be sure to promote your participation to help build interest and gain greater exposure for your virtual booth or other activities by the time of the event. The Promotional Toolkit below has quick tips and templates for you to use.
  • If your package includes an opportunity to present, please visit the Presenter Resources page for the details you need to prepare. For tips on how to direct traffic from your presentation to your booth, view the “Lead Generation & Networking” tile below.
  • Please beware of poachers and only use EDUCAUSE official vendors, which includes Freeman—the official online platform provider.

Primary Logistics Contacts

If you are designated as the primary logistics contact for coordinating your company’s participation at this year’s conference, we require the ability to email you information regarding your participation. If you need to reassign your role, please contact our Corporate Team at [email protected].

Also, as part of the exhibiting terms and conditions, primary logistics contacts understand and agree that their individual contact information will be shared with all EDUCAUSE official show vendors in order to fulfill necessary services. This may include company name, mailing address, primary booth contact name, title, phone, fax, and email addresses, where available.

Registration

Once your organization has confirmed participation at this year's event, the individual designated as your primary logistics contact will receive an email from EDUCAUSE staff with a unique link to your Exhibitor Registration Console.

Through your Exhibitor Registration Console, you will invite staff who plan to attend this year's event to register themselves.

Each individual attending the conference must complete their own event registration and will be prompted to log in or create an EDUCAUSE Profile before doing so. This includes your live presenters, representatives monitoring your virtual booth, and/or those who wish to attend sessions or any other part of the event.

It is important that all staff attending the event register as soon as possible in order to receive necessary communications in advance. We highly recommend registering no later than October 20.

Presenter Registrations

If your EDUCAUSE 2020 participation package includes an opportunity to present, your presenters will need to register as a full-conference attendee. An exhibit staff registration will not provide access to the presenter portal within the event platform.

  • Company Representatives: If the presenter is affiliated with your company, they will need to register through exhibitor registration as "Exhibitor Full-Conference" (via your Exhibitor Registration Console). If you would like to use your complimentary full-conference registrations for your company’s presenter(s), please review the information below under, "Your Complimentary Exhibitor and Full-Conference Registrations."
  • Institutional Representatives: If the presenter is affiliated with an institution, they will need to register through attendee registration.

Your Complimentary Exhibitor and Full-Conference Registrations

EDUCAUSE 2020 participation packages include complimentary exhibitor and full-conference registrations. 

Exhibitor Registrations
To use your complimentary exhibit staff registrations (within your Exhibitor Registration Console):

  • Set the "Reg Type" for all applicable personnel to "Exhibit Hall Staff" during step three of the "Add New Personnel" process.

  • Check the box and select "Send Invite" after you have added your personnel. This will send an email invitation to each staff member, asking them to register for the event.

  • Once you have reached your allotment, this registration type will charge the registrant $119.

Exhibit staff registrations allow access to the exhibit area, your virtual booth, and the networking component for scheduling 1:1 meetings.


Full-Conference Registrations
To use your complimentary full-conference registrations (within your Exhibitor Registration Console):

  • Leave the "Reg Type" blank during step three of the "Add New Personnel" process.

  • Before sending individual invites to register, select each individual's name and enter the promo code that was emailed to you. Alternatively, you can also share the promo code with your staff and ask them to enter it at the beginning of their registration. (Promo codes can be used multiple times depending on your package.)

  • Once you have reached your allotment, the appropriate registration fee will be applied moving forward.

Full-conference registrations allow access to the entire event, except for Learning Labs or Experience Summits.

To check the status of your staff's registrations, log in to your Exhibitor Registration Console at any time. If you have any questions or system difficulties, please contact the EDUCAUSE Corporate Team by email.

Please note that we are unable to accommodate complimentary registrations over what was included with your purchased package. You are welcome to register additional attendees at the designated registration fee.


Registration Cancellations

Registration cancellations received on or before October 1 are entitled to a full refund. If you cancel after October 1, no refund will be issued. Your credit card used as a guarantee will be charged the balance due without prior notification.

Your Virtual Booth & Analytics

Your virtual booth is an ideal way to showcase your products and services, network with attendees, share resources and special offers, and highlight how you can help the higher education community now and well into the future.

The virtual exhibit hall will remain publicly available to attendees—and will also open for non-attendees—for three months following the event, allowing you to continue to connect with your target audience.

Exhibitor Detail Page

  • 1325 x 290 px hero banner (JPEG, PNG, or GIF max 300MB)
  • Your company name, logo (300 x 300px JPEG or PNG with white or transparent background, max 300MB), description, and website link
  • Contact information for up to three sales contacts
  • Social media handles
  • Content downloads
  • Video content hosted by YouTube or Vimeo (max amount: 5; max recommended time: 10 min; preferred content: featured products and promotions)
  • Meeting scheduling software
  • Public chat area

Preparing Your Booth

Your organization's primary logistics contact will need to submit all content and materials for your virtual booth through the Freeman platform—the official online platform provider.

To submit your content and materials, please reference the confirmation email sent to your designated primary booth contact. (Login will be required. Please keep your login credentials handy, as you will need them to access your space in the future.)

All virtual booths must be show-ready by September 30. Please note: Due to several requests, we were able to get a one-time extension from our vendor for you to finalize your exhibit (final deadline: September 30). This is a one-time extension and the final deadline for content submission. After this date, any new content or changes to your exhibit are not guaranteed for quality assurance testing and are at risk of not being included in the live event program or not functioning properly.

As you enter content, you will see an option to preview your booth prior to approving your space for public view.

Once all content is loaded and you are ready for attendees to view, please approve your space. Approvals are needed by September 23 to allow for a system wide quality check. The site should be live for attendees to explore on October 21.

Once you’ve completed your form, go to your portal and select the “Preview and approve profile” tile. You will be able to view your booth as attendees will see it.

If you’re happy with everything, please select the "Approve" button in the top right of the screen. You are then finished with your virtual booth setup.


Booth Analytics

A dashboard of key insights and analytics of attendee engagement with your virtual booth will be available, which will include the following information.

  • Unique user visits
  • Total interactions
  • Total downloads
  • Interaction trend
  • Video views
  • Schedule meeting
  • Company logo clicks

Detailed lead generation reports will also be provided for you to follow up with current and potential customers, which will include:

  • First name
  • Last name
  • Organization
  • Title
  • Country

How to Access Your Booth Analytics

Your organization’s primary logistics contact will receive a unique URL to set-up their individual login credentials to access your analytics dashboard. Access to your dashboard is reserved for your primary logistics contact only—please do not share this information among other associates.

All primary logistics contacts must be identified no later than Friday, October 16 in order for your organization to have access to your booth’s unique data set. To make changes to your current primary logistics contact, please contact our Corporate Team. If there are no changes to your current 2020 EDUCAUSE Annual Conference primary logistics contact, no action is needed.

Your dashboard will update every other hour during the event dates and 2-3 times daily after the event, and will be available through January 31, 2021.

Driving Traffic to You

To help drive traffic to your virtual booth, we will market it before, during, and after the event, encouraging attendees to make the most of what you are bringing to the community.

Attendees can return to the virtual exhibit hall for an additional three months following the event, allowing you to continue to make connections. We will also open and market the exhibit hall to non-attendees during this time.

We will also host Passport to Prizes, a unique opportunity for attendees to visit your exhibit and engage with you to win a variety of prizes.

To help incentivize attendees to visit your virtual booth, you can provide special offers or gifts, free or discounted services, or host a raffle, drawing, or contest that requires attendees to provide their contact information and other details.

As a reminder, attendees can return to the virtual exhibit hall for an additional three months following the event, allowing you to continue to make connections. We will also open and market the exhibits to non-attendees during this time.


Tips for Presenters

If your EDUCAUSE 2020 package includes an opportunity to present, please visit the Presenter Resources page for all the details you need to prepare.

To help drive traffic from your presentation to your booth during the event, we recommend adding details about your exhibit to your slides and verbal presentation. You can include the free resources and special offers available, as well as the opportunity to continue the conversation with you via live chat or by scheduling a meeting with your/your staff.

Your banner image that will display during your presentation will link directly to your booth—helping attendees easily find you during the event!


Networking

AI-Powered Networking

For an additional way to connect with attendees, you can utilize our AI-powered networking opportunity during the event.

Through this AI-powered tool, you can easily find and get matched with your key customers who have the same interests as you or who have specified which products and services they are seeking. Here, you can video chat and schedule meetings with quality leads. (Video meetings are hosted by Whereby.)

Starting October 21, those registered can begin scheduling appointments with each other through this tool, as the event platform will be live to explore starting this date.*

Make sure your staff who are attending the event are registered so they can log in to the event platform, create their networking profile, and begin requesting meetings with your institutional clientele and prospects.

*Appointments will begin at the start of this year's event (October 27).

The AI-powered networking tool will be available through October 29 at 11:59 p.m. ET. Reports capturing engagement with this tool must be downloaded prior to this time by each individual or reports will be lost.


"Schedule a Meeting"

Attendees can also schedule a meeting with you via the "Schedule a Meeting" button included in your exhibit. When they click on "Schedule a Meeting", attendees will be taken directly to your staff’s networking profiles in our AI-powered networking tool to reserve meetings with them. Please ensure your staff are registered as soon as possible, so they can log in to the event platform on October 21 and create their networking profile.

Scheduling meetings through our AI-powered networking tool will be operational through October 29 at 11:59 p.m. ET.


Live Chat

Included in your exhibit is a live chat feature where attendees can ask you questions and provide feedback about your products and services. Here, you can introduce yourself, spark conversations with engaging questions, or provide fun or useful tips about best practices in your field of expertise. The more engaging you are, the more effective your conversations will be! The live chat is publicly viewable, allowing all registrants to view the conversations, and seperate login for exhibitors is not required. Registrant name is the only information that will display for attendees and exhibitors (company name/organization will not be included).

The live chat will be operational through October 29 at 11:59 p.m. ET.

Timeline & Key Dates

The timeline below includes due dates for your participation at EDUCAUSE 2020.

There are several different vendors and forms requiring a unique username and password. To alleviate some confusion, here is a list of the most common sites that require login (all are unique vs. SSO):

  • Exhibitor Registration Console (Hosted by Experient): The Exhibitor Registration Console is where your company's primary logistics contact will help coordinate your staff's registrations. The link and password to your organization's unique console has been sent to your primary booth contact.
  • Freeman Online: Your organization's primary logistics contacts will need to set up an account directly with Freeman to coordinate all engagement instrumental for your booth. The link to do so has been sent to your primary booth contact.
  • Quant: Your organization’s primary logistics contact will need to set up an account with Quant for access to your virtual booth analytics dashboard. The link to do so will be sent to your primary booth contact. Please stay tuned.
  • EDUCAUSE Profile: All registrants will need to create an EDUCAUSE Profile to register for the event.

September 30 Virtual Booth, Exhibitor Directory, & Banner Image Deadline (One-Time Extension)
Finalize all information, content, and materials to be included in your virtual booth.

Due to several requests, we were able to get a one-time extension from our vendor for you to finalize your exhibit. Please note that this is a one-time extension and the final deadline for content submission. After this date, any new content or changes to your booth are not guaranteed for quality assurance testing and are at risk of not being included in the live event program or not functioning properly. Also, if your booth hasn’t been finalized by this time, we will not be able to add your organization to the event’s Exhibitor Directory.

If your participation package includes a banner image(s), please submit one graphic in the following sizes (PNG or JPEG) by this date via the unique Smartsheet link sent to your primary booth contact: 300px by 500px, 1325px by 290px, 1440px by 300px. EDUCAUSE will determine the banner locations within the event platform and your banner(s) will link to your booth.
October 1 Advance Registration Deadline
Prices will increase for full-conference registrations after this date. Due to demand, early registration pricing has been extended to October 1.
October 16 Deadline to Update Your Primary Logistics Contact
Changes to your primary logistics contact must be received by this date in order to gain access to your organization’s virtual booth analytics dashboard.
October 20 Staff Registration Recommended Deadline
We highly recommend that your staff register by October 20 in order to receive important communications before the event and also to be prepared to log in to the platform the following day.
October 21 Event Platform Live
The event platform will be live for attendees to explore on October 21. Make sure your staff are registered so they can get familiar with the platform before the main event begins, and to also create their networking profile to start making connections and scheduling meetings through our AI-powered networking tool.

Share on Social Media

Social Media Tips

  • Start your promotion as soon as your participation is confirmed. This will help build interest early, leading to greater exposure for you by the time of the event.
  • Include the official hashtag—#EDU20—in your posts to be part of the conversation.
  • Post to all of your organization's channels one hour before the event begins each day to create excitement.
  • Provide your Twitter handle and other social media channels in your virtual booth, so attendees can connect with you after the event. Check your channels periodically to help answer questions and participate in discussions.
  • Go multimedia. Use content marketing, pictures, and video, especially during the event. The more interesting you can make your posts—both content-wise and visually—the more effective your posts will be.
  • Have a conversation. Use a natural voice in your posts, make sure you reply to others' posts when you can, and thank attendees for participating.

Use your daily emails to let your contacts know they can find you at the event.

Attendee Lists & Promotions

Attendee Lists

There are two types of attendee lists available for EDUCAUSE 2020:

  1. A registration attendee list—cannot be used for promotional purposes
    • This list consists of those that opted in during their registration process to share their information with other conference attendees.
    • Those registered for the conference have access to this list using their registration email and confirmation number.
    • Registration lists are provided as a service for conference attendees to network with their peers.

      Data may not be harvested, sold to others, incorporated into any type of database, used to generate mailing lists, or employed for any promotional purpose, especially mass email and telephone solicitation. EDUCAUSE prohibits the registration list to be used as a pre or post-conference lead sheet. Abuse of this list will result in prevention of further event involvement.   2. A complimentary attendee email address list for a one-time email piece to promote your brand
    • This list is comprised of those attendees that opted in during their registration process to receive a promotional mail piece from exhibitors or corporate participants.
    • This list is not automatically provided, therefore, must be requested by the exhibitor booth contact or the corporate logistics contact.
    • You can download the EDUCAUSE 2020 logo to be used in your direct mailer. Please note: EDUCAUSE's trademarks, service marks, logos, trade dress, and any other identifying marks or insignia (collectively "EDUCAUSE's Trademark") should only be used in a manner that follows these incorporated guidelines to maintain brand integrity: (a) EDUCAUSE trademarks should not be used on a heavily textured, colored, or patterned background. (b) Keep the trademarks separate from other elements within the design space by maintaining a measure of white space around it, regardless of the medium. (c) EDUCAUSE should be written in all uppercase and any copy should not imply that EDUCAUSE endorses your company's presence or its products and services.

      To request this participant address list:
      • Step 1: Send your proposed promotional materials to [email protected] for approval.

        TIP—two major things we look for during the approval process are: 1. EDUCAUSE is all upper case and the copy does not imply that either organization endorses your company's presence or its products and services; 2. The conference should be referred to as EDUCAUSE 2020 or the EDUCAUSE Annual Conference.


        Step 2: Once approved, the list of attendee addresses may be requested at any time. The list will be provided once in an Excel spreadsheet. It's the requesting organization's responsibility to distribute the promotional piece.

        TIP—we recommend waiting to request the list until after the advance registration deadline (September 15).

Exhibitor Directory Listing

Promote your company for free in the Exhibitor Directory. The directory listing includes:

  • Company name
  • Website URL
  • Product/service categories
