In-Person Session Presenter Resources

Q: What are the due dates for my presentation?

A: 

There are several key dates for your presentation and any supplemental resources you would like to provide:

  • Now through Sept/Oct: Create your presentation, meet with your presentation team (if applicable), and refine presentation skills and engagement tactics. Be sure to watch the Presenter Support Modules for best practices to help you create and deliver an outstanding presentation. You may download the event PowerPoint here. (It's encouraged but not required to use.)
  • September 30: (optional) Submit supplemental presentation resources. If you want any session materials included in the online event platform as attendee resources (handouts, etc.), you must upload them by Sept 30. See the next three sections for information on file naming, approved formats, and upload instructions.
  • October 20: Upload your presentation slides. In order to accomodate a "touch-free" presenter experience, we'll need your slides uploaded in advance. If you have changes or arrive with a new slide deck, we can accommodate those situations on-site in the Speaker Ready Room, but we can't guarantee a "touch-free" experience as indicated in our COVID-safe protocols.
  • October 27–29: EDUCAUSE Annual Conference
    • Prior to your session, we request that you meet our staff in the Speaker Ready Room in Philadelphia to do a quick run-through of your presentation. If you have any changes to your PPT, an updated version can be uploaded to your presentation room. (Remember, you do not need your computer; one will be provided for you with your presentation already pre-loaded on it.)
    • Arrive at your meeting room 15 minutes prior to your session to ensure you have time to get set up and situated.
    • Present at your scheduled date/time. Good luck!

Q: What format(s) are accepted for presentation materials?

A: 

File types allowed: pdf, docx, jpg, jpeg, png, PPT, PPTX. File size should be 2GB or smaller.

Q: Do you have a preferred naming convention for files, and should I include a copyright statement?

A: 

All presenters should share their presentation materials prior to the annual conference. Please rename files to be uploaded with the session title and the resource type (examples: "NameofSession_Slides.ppt" and/or "NameofSession_ Handout.pdf"). If you password-protect a PDF document, please make sure to enable the file to be read by a screen reader. It is our goal to make our resources easily available to those who use adaptive and assistive technology to access files over the internet.

Q: How do I upload my material?

A: 

You will receive an email from your speaker liaison with a link to upload. All presenters will receive the email; however, designate only one presenter to upload your material. When you get the link, please follow the detailed instructions.

Q: How will my on-site room be set up?

A: 

Please see the following setup information based on your session format:

Preconference Workshops: These will be set in all rounds, with a head table and chairs for presenters and a standing lectern at the front of the room.

Presentations: These will be set theater-style or a combination of round tables in the front of the room and theater-style seating in the back. There will be a head table and chairs for presenters and a standing lectern at the front of the room.

Community Group Sessions: These will be set with round tables. There will be a head table and chairs for presenters and a standing lectern at the front of the room.

Q: How big is the room that I will present in, and how many people can I expect at my session?

A: 

Session rooms vary in size but will hold anywhere from 80 to 500 people. The room assigned for your presentation will depend on your topic and format. We cannot anticipate how many people will attend your session, and seating is first-come, first-served. (Preconference workshops are the exception.)

Q: Will I have access to audio/video equipment?

A: 

All of the session rooms (with the exception of posters) will have the following standard audiovisual setup, which includes:

  • LCD projector with connection to the presentation computer
  • Laptop computer (Reminder: your presentation will be pre-loaded on the computer; both a Dell and Mac option will be available in each room)
  • Screen (16:9, widescreen format)
  • Internet wireless access
  • Hard Ethernet drop
  • Sound patch for computer audio to the room through house sound
  • Wireless lavalier microphone
  • Wired microphone at lectern
  • For panels of three or more, one additional table mic is provided
  • Two flip charts

EDUCAUSE is not able to accommodate additional requests outside of the standard AV. If you have any questions or concerns regarding the AV provided, it is important to contact EDUCAUSE no later than September 24. After that date, our program will be finalized with the convention center.

Q: Will I have internet access?

A: 

The following internet connections will be available:

  • Wireless access will be available for both presenters and attendees. The connection speed will be sufficient to access and navigate web pages and email.
  • One dedicated Ethernet connection is provided for presenter use (cable dropped between lectern and table and requested to be long enough for use at either location).

Substantial bandwidth will be provided and should be sufficient for basic applications you wish to present. However, if you know that your presentation will require a significant bandwidth and have concerns, please contact the speaker liaison.

Q: Is there a place at the convention center where I can work on my presentation?

A: 

Yes, there will be a Speaker Ready Room with EDUCAUSE staff available to assist you.

Here are a few things you will be able to do in this room:

  • Upload your presentation to the presentation management platform
  • Make last-minute changes to your presentation
  • Practice your presentation using the same AV equipment that will be provided in your breakout room
  • Get help with technology questions
  • Meet with your co-presenter(s) to review your presentation
  • Pick up your "presenter" ribbon for your name badge
