Day One, Device Ready: Designing Frictionless Digital Onboarding for Every Campus Persona
Every enrollment cycle, campus IT teams face the same challenge: thousands of new students, hundreds of new faculty and staff, and a narrow window to get every person productive on a device that works. At most institutions, this still means manual imaging, individual setup appointments, inconsistent configurations, and a surge of help desk tickets in the first two weeks—exactly when first impressions of institutional technology are being formed. Student experience research consistently connects early technology friction with lower satisfaction and weaker engagement. A significant part of the problem is that most provisioning processes are role-agnostic: a first-year English major, a nursing clinical student, a new faculty researcher, and a facilities worker all go through essentially the same workflow even though their technology needs differ significantly. This session introduces a persona-based onboarding approach where devices configure themselves automatically based on the user’s role. We walk through defining campus personas; implementing zero-touch enrollment across Windows, macOS, iOS, and Android; building self-service app catalogs; and handling the distinct requirements of BYOD versus institutional devices. Attendees will map personas for their own institutions during the session and leave with templates for a pilot they can begin this fall.
