How to Coordinate Your Staff Registration, Housing & Complimentary Registrations
As the primary logistics contact designated to coordinate your company’s participation at this year's EDUCAUSE Annual Conference, you play an important role in managing your staff registration and housing.
To do so, you should have received an email from EDUCAUSE staff with a unique link to your company's Exhibitor eConsole for accessing the Maritz Registration Dashboard.
Through your dashboard, you will:
- Determine who will staff your booth at this year's event;
- Upload your staff's contact information and;
- Invite staff to register for the event. Each person will complete their own event registration from their unique invite.
Everyone attending must complete their own event registration and will be prompted to log in or create an EDUCAUSE Profile before doing so. This includes staff working your booth, presenters, and/or those who wish to attend for professional development. Purchasing an opportunity does not automatically register anyone.
It is important that your staff register as soon as possible in order to receive necessary event communications in advance. We highly recommend registering no later than September 24.

Complimentary Exhibitor Registrations | Additional Details
EDUCAUSE 2021 booths include five complimentary exhibitor registrations per 10'x10' of space. Access this step-by-step guide for details on how to use your complimentary exhibitor registrations.
All exhibitor registrations include:
- Entrance into the exhibit hall during setup, preshow, show, and post-show hours
- Access to refreshment breaks held in the exhibit area
- Entrance to the Networking Reception in the exhibit hall on Wednesday evening
Exhibitor registration does not include:
- A drink ticket during the Networking Reception in the exhibit hall on Wednesday evening
- Lunch
- Access to any in-person conference sessions nor the online conference

Complimentary Full Conference Registrations | Additional Details
If your organization has secured an additional sponsorship and/or presentation opportunity beyond your booth, you may also have complimentary full conference registrations as part of your benefits, which can be used for either the online or both online and in-person experience. (Only booth staff badge allotments display in your Maritz Registration Dashboard.) Access this step-by-step guide for details on how to use your complimentary full conference registrations.
Online full conference registration includes:
- The shared EDUCAUSE Annual Conference experience with access to live and on-demand program content on the online event platform
- Online networking opportunities
In-person full conference registration includes:
- Access to conference sessions held on-site in Philadelphia on Wednesday, Thursday, and Friday
- Access to live and on-demand program content on the online event platform
- Daily refreshment breaks
- Entrance to the Networking Reception in the exhibit hall on Wednesday evening
- Exhibit hall access during open hours

Please note that we are unable to accommodate complimentary registrations over what was included with your purchased opportunity. You are welcome to register additional attendees at the designated registration fee.
Registration Cancellations
Registration cancellations received on or before September 30 are entitled to a full refund. If you cancel after September 30, no refund will be issued. Your credit card used as a guarantee will be charged the balance due without prior notification.

Important Note: Cancellation of your conference registration does not mean cancellation of your hotel reservation. You must cancel each separately. Registrations and hotel reservations cancelled after certain dates are subject to processing or other fees.
Housing
Every individual must register for the conference before they can secure housing, regardless if your company has secured a hotel room block or not. No rooming lists will be accepted.
If you request a room block, each individual—whether attending as booth staff or for professional development—will only be presented with rooms within your organization's block during registration.
This means rooms could be reserved by staff who are not working the event before your booth staff have had a chance to register, and you could run out of rooms for your booth staff. Please keep this in mind when requesting the quantity of rooms required when adding staff to your registration roster.
All rooms require name assignments by September 10.
Credit card guarantee is required for hotel rooms.
Important Reminder: Cancellation of your conference registration does not mean cancellation of your hotel reservation. You must cancel each separately. Registrations and hotel reservations cancelled after certain dates are subject to processing or other fees.
Housing & Registration Advisory
Maritz Global Events (formerly Experient) is the Official Housing and Registration bureau for the EDUCAUSE Annual Conference.
Improper solicitation of hotel reservations from any company other than Maritz Global Events is not approved. Reservations made by unaffiliated organizations may appear to have lower rates, however they may be illegitimate, not have the rooms to sell, have unreasonable cancellation or change penalties, or be completely non-refundable.
Please be aware of and report any unauthorized solicitations to EDUCAUSE.
