Located in highly visible areas of the convention center, banners and escalator runners are a great way to promote your company's products and services, generate brand awareness, and drive attendees to your booth. Included in the cost is banner production, installation, and teardown.
EDUCAUSE Commons Private Meeting Suites
$7,200 Members | $8,200 Nonmembers | 27 Available
We’ve made it easy for you to meet with clients throughout the day at the in-person event. Meeting suites are private spaces located in the EDUCAUSE Commons that are reserved for your company only where you can have more personal conversations with your current or potential customers.
Available to exhibiting companies. Meetings may only be conducted during EDUCAUSE Commons hours.
All suites include:
- 13' x 13' x 8' hard-wall room with lockable door (suites must remain 13' x 13' x 8')
- Wastebasket
- Standard carpet
- Identification sign with company name
- Basic electricity
- (Ceiling not included)
Additional in-suite opportunities (at company's cost):
- Order furniture and brand your suite (arranged through Freeman)
- Serve food and beverage in your suite (arranged through Music City Center)
- Audiovisual (arranged through Freeman AV)
- Internet (arranged through Music City Center)
Reception in the EDUCAUSE Commons | For Exhibiting Companies Only

Sponsoring this heavily promoted and popular event makes your company stand out in the EDUCAUSE Commons. Attendees must visit sponsor booths and scan their name badge to be entered into a drawing to win a prize (provided by EDUCAUSE).
Benefits include:
- Sponsor recognition in promotional emails highlighting the reception
- Sponsor recognition in the online agenda
- One handheld lead retrieval device for scanning leads for the entire show (winners selected only from scans captured during reception hours)
- Announcement thanking the sponsors in the EDUCAUSE Commons
- Decal(s) in the aisle by booth and freestanding signage, making it easy for attendees to find sponsors
Refreshment Breaks in the EDUCAUSE Commons
Tuesday or Wednesday | $9,900 Members | $10,900 Nonmembers
Distribute materials and gain brand recognition in several grab-and-go areas. Breaks are scheduled throughout the day on Tuesday and Wednesday. Benefits include:
- Opportunity to brand grab-and-go stations (i.e. pull-up banner, branded napkins, cups, etc.; sponsor-provided)
- Sponsor recognition on refreshment break signage (EDUCAUSE-produced)
- 6' sponsor table set in an EDUCAUSE designated area for the entire day (sponsor staffed)
- Basic power
- Three complimentary Exhibit Hall Visitor registrations
Tote Bags
$8,400 Members + Production/Shipping Fees | $9,400 Nonmembers + Production Fees
Add your company logo to attendee tote bags that will be distributed at the conference. Sponsors will design, produce, and ship tote bags, and tote bags must be reviewed and approved by EDUCAUSE.
Ancillary Meeting Space
Pricing Varies
Ancillary meetings allow you to host community or customer-focused meetings in conjunction with the in-person conference (cannot conflict with the conference program), such as:
- Business meetings for boards or clients
- Working meetings for committees, focus groups, user groups, or consortia
- Internal meetings for personnel, organization staff, or teams
- Social events to include receptions or dinners
This opportunity is available to organizations that are EDUCAUSE members and formally participating in the 2025 EDUCAUSE Annual Conference only (i.e. exhibitors, sponsors, and presenters).
